Answers before your first trip
The questions flight departments ask most before they start with FuelerLinx.
Frequently asked questions
Subscriptions
How do I sign up?
Contact a sales rep at FuelerLinx and we do the work. Our team sets up your contract fuel profiles, direct FBO pricing and aircraft profiles, and tunes individual aircraft settings to reflect your fleet. Request a demo →
How long are your contracts?
We do not have contracts. We require 30 days written notice to cancel either a monthly or annual subscription. If you paid annually up front for the year and wish to cancel, we refund your unused time prorated.
How much does a monthly subscription cost?
The monthly subscription depends on the number of aircraft in your fleet and the number of device licenses your department uses to access FuelerLinx. Contact a sales rep for a quote. Request a demo →
Is there a discount for an annual subscription?
Yes. Pay annually up front and you pay for 11 months and receive the 12th free. That incentive is offered every year you renew with FuelerLinx.
Do you offer unlimited licenses?
Unlimited device licenses can be purchased for a flat monthly fee, giving you an unlimited number of devices that can access your FuelerLinx account. A device license is a computer, laptop, iPad, iPhone or any other mobile device.
How long does onboarding take?
Most flight departments are up and running after one or two online training sessions, where fleet performance profiles, vendor agreements and integrations are configured with you rather than handed over as homework. Support is free and unlimited after that, so reach out to our team as often as you want.
Fuel Suppliers & FBOs
Do we have to change fuel vendors?
No. Your existing contract agreements load in as they are, and every leg is priced against them alongside open-market retail and direct FBO pricing, to four decimals.
How many contract fuel suppliers can FuelerLinx process?
All of them. FuelerLinx compares every contract fuel supplier your flight department holds. If you use a provider that is not currently listed, we can add them as a compatible vendor right away. See the vendor roster →
Can I skip the dispatch option and approach the FBO directly?
Yes, you can.
What if I have direct pricing at certain FBOs?
With FBOLinx integration, your FBO pushes your weekly confidential direct pricing into FuelerLinx through a secure portal. You can also load any direct pricing yourself as a .csv file in your fuel vendor profile.
Fuel Pricing & Services
Do you mark up fuel?
No. FuelerLinx displays only the native pricing your contract fuel vendors and FBOs provide to you directly. We take no part in your fuel purchases. We earn a flat monthly subscription based on the number of aircraft in your fleet and the device licenses used to access your account.
Are FuelerLinx prices guaranteed?
FuelerLinx organizes fuel price quotes in one interface. We are not a fuel reseller. The quotes shown are sourced from the fuel vendors participating in the system, and price guarantees are the responsibility of the vendor.
Can I account for pricing arranged at my home base?
Yes. Any price associated with a fuel farm, or base tenant pricing arranged with your hangar or FBO at home, can be carried in FuelerLinx.
My price quotes are confidential. Can anyone else see them?
Your account is password protected for every user. Only the people in your flight department you share access with can see your prices. All pricing history and transaction records are private and reachable only by those you deem appropriate.
How often do we have to upload pricing?
Most major contract fuel vendors run a web service into FuelerLinx, so your negotiated pricing updates in real time whenever you pull a quote. A handful still require a weekly .csv upload. One person updates that file and it applies system-wide across all sub-accounts.
Where does the FBO fee data come from?
From the facilities themselves, from our own research, and from confirmed transaction activity across 3,046 FBO records. That is 7.5M+ fee observations, maintained continuously and released only to users.
Dispatching & Fuel Release
What if I show up and my fuel release is not at the FBO?
FuelerLinx emails you a copy of the release request, and the order appears in your transaction log immediately after dispatch with the quoted price and volume breaks. The vendor's contact information is on every release if you need to call them directly.
Do I have to send all fuel orders through FuelerLinx?
No. Some vendors require no pre-release at all. We still recommend ordering everything through FuelerLinx: crews arrive with the order in hand including volume discounts, you track total fuel spend across every purchase, and you can confirm you were billed the price you were quoted.
Do I have to use FuelerLinx for all my contract fuel?
To get an accurate account of your best possible contract or direct FBO price, it is important to include all your fuel vendors in FuelerLinx.
How early do I need to dispatch my order?
Please allow at least 30 minutes for the alert to reach the FBO before you arrive.
Will I be charged for dispatching fuel?
No. You can dispatch as many fuel requests through the system as you want.
How far in advance can I arrange fuel?
Order within 24 hours of the uplift. Fuel prices can move more than once a week, so dispatching and uplifting close together keeps the quote and the invoice aligned.
Access & Integration
Can pilots use it away from the office?
Yes. The FuelerLinx mobile app runs on the same data spine, with the same trips, prices and receipts, so a crew sets up fuel from anywhere with a data plan and captures the uplift at the truck.
Is FuelerLinx cloud based or a stand-alone application?
Both. There are stand-alone apps and secure cloud-based data servers, so you can reach your account from anywhere at any time.
Does it work with our scheduling and dispatch system?
Yes. We integrate with 31 scheduling and dispatch systems, connecting both directions on a stable contract, so a trip is entered once. Tell us your stack and we will confirm the path.
What if our scheduling software is not integrated?
We are integrated with most of the scheduling systems on the market today. If yours is not on the list, you can still run FuelerLinx as stand-alone software. See the integrations roster →
Is there a government version?
Yes. FuelerLinx has a government configuration for defense sourcing, payment instruments and documentation. See FuelerLinx for Defense.
