Defense fuel logistics

Mission-ready fuel logistics

Into-plane contract fuel and DLA-aligned optimization for government flight operations. The optimizer corporate departments fly, configured for how government aviation sources, pays for and documents every gallon.

AFWERX SBIR Phase II

Built and validated for government flight operations

Developed under AFWERX SBIR Phase II contract FA864923P1026, project Optimized Fuel-Through Automated Planning, closed out October 2025 with formal end-user concurrence.

4,449
Fueling events processed in operational use, Nov 2023 to Aug 2025

Documentation & audit

No more paper: transactions are now fully automated

Uplifts, receipts and source documents stay bound to the transaction from the ramp through settlement. Reconciliation matches them line by line against the government fuel-purchase report, and the required fuels documentation log is generated from those same records, so the audit trail and the invoice cannot disagree.

  • The monthly EEBP cycle reconciled against receipts on file, with the certified AFI 11-253 validation memorandum ready for CAC signature
  • Live interfaces to EEBP, CRIS and REMIS, each showing its last pull, so a stale feed is visible rather than silent
  • Full compliance with AF IMT 664 fuel log documentation. Generated from the transactions themselves.
  • End-of-year MORD closeout through de-obligation, with unbilled charges derived from parsed receipts rather than a billing-lag estimate
  • Generate command-wide reports based on annual gallons. fuel spend, dollars per gallon, and any fuel & service discrepancies.
  • Every service line is cross-referenced against the authorized products and services list by identifier pair. Unauthorized and restricted items are flagged before the order goes out.
  • Duplicate charges, prices that miss the CRIS rate and fuel billed to an aircraft the wing did not have that day are held back from payment and flagged with the reason.
  • DD Form 791e is drafted at the boom station, even offline, then routed through each required review before an official copy and accounting export are produced.

Accurate benchmarks

Real fee data from FBOs across the commercial network gives the government an independent, fair and reasonable price reference for every non-fuel charge.

Services authorized before being ordered

Each FBO service is checked against the DLA authorized list, so crews know what it costs and whether the AIR Card covers it before they order.

Data protection

DFARS 252.204-7012 and DoD Controlled Unclassified Information requirements maintained across 26 months of Air Force use, with encryption in transit and at rest, VPN with multi-factor authentication and role-based access.

Hosting

Multi-tenant Azure in a FedRAMP-aligned configuration, structured by organization, unit and aircraft, operated concurrently across four wings on two MAJCOMs.

Accreditation status

Groundwork toward a Department of the Air Force Authority to Operate and FedRAMP Moderate is in place. Both require a sponsoring Authorizing Official, which we are pursuing with the operational community.

No conflict of interest

We take no fee, rebate, commission or margin from fuel vendors, hold no interest in any into-plane contractor, supplier or facility, and earn revenue solely from software licensed to the operator. A system meant to challenge fuel charges has to sit outside the transaction.
